    As NHS Scotland's unique provider of a national tele-health and tele-care service, we are responsible for the delivery of health advice and information by telephone and online services to the population of Scotland 24 hours a day, 365 days a year. NHS 24 is a patient-focused service providing the people of Scotland with triage, advice, guidance, referral and information on health and healthcare services.

About the vacancy

    The Administrative Assistant will support the Training and Education team with NHS 24's administrative duties to facilitate the delivery of core training programmes to new and existing staff and provide administration support to the Head of Service for Practice Education and across the broader team functions as required.

    The Administrative assistant will also act as the coordination point for the wider Training and Education team and administratively support the delivery of the induction of multiple groups of multidisciplinary staff per year. There may be numerous groups running concurrently at any one or multiple sites.

Key Responsibilities

    - Seek to review administrative processes across the Practice Education team making recommendations for improvements. In addition, the post holder will propose potential changes/developments to existing processes and procedures.
    - Organise a variety of formal and informal meetings, securing a suitable time for multiple attendees.
    - Organise room bookings, promoting the use of video conferencing systems to reduce the requirement for attendees to travel.
    - Production of formal minutes, some of the formal meetings the post holder will record minutes for, will be submitted onwards to senior management groups or committees.
    - Review and maintain emails within the Training Advisor inbox responding to enquires where appropriate.

    - Be educated to HNC level or equivalent level of knowledge or experience.
    - Have an ability to demonstrate an all-round professional attitude to performing
    - Demonstrate a high attention to detail, prioritising workload and balancing conflicting priorities.
    - Have excellent interpersonal skills with the ability to demonstrate an all-round professional attitude especially under pressure.
    - Be enthusiastic, self-motivated, flexible and able to work on own initiative individually or as part of the wider team
